Operating from 100+ countries, the client is a large CRO managing multiple projects at the same time across large numbers of dispersed study sites.

Challenges to Solve

The key challenges faced by the CRO were the creation of large volumes of binders, personalised by research site. Each binder contains hundreds of pages and tab dividers. These require consistent high-quality printing and timely delivery across the globe; maintaining brand standards, assuring compliance, and meeting quality standards. Additional requirements include on-brand, personalised materials such as patient information packs, trial supplies, event merchandise, and marketing collateral.

The client is highly regarded with a strong brand and respected reputation.  As a result, they require consistency and maintenance of brand standards throughout all digital or printed files. Yet document creation, printing, and brand management was carried out by a variety of personnel at individual sites using multiple vendors thus impacting quality assurance and risking timescales.

The docs 24 Solution

The client contracted with docs24 to manage the research binder production from the outset: this includes compilation, printing, and delivery as well as the production of related materials such as branded business cards, letterheaded documents, and more. Through using the docs 24 Smart Branding Management Platform together with a dedicated team of account executives and specialist designers, the creation of all the client’s required materials was simplified and produced via a network of docs24 pre-vetted global vendors. This has allowed for all materials to be delivered well within project deadlines.

Key Outcomes

Partnering with docs 24 has returned over 50,000 lost hours to the CRO and saved more than $2.25m annually. It has reduced the turnaround time from content creation to distribution by an estimated 5 days. The client also saved approximately $7m by removing long-distance shipping where possible.

Alongside these savings, the output generated using the docs 24 platform was higher quality and more consistent than the client was previously able to ensure.

Based on the efficiency and savings delivered, the client intends to use the docs24 platform to produce additional work-related materials and documents, which will result in further front-end savings to the business.
